Small Business CRM

This site is dedicated to education regarding CRM solutions for small business, or as I like to call them, "True Small Businesses" (TSBs). When most CRM providers talk about their product for SMBs (small to medium sized businesses) they're really referring to the MBs. If you dive into the functionality and cost of their products, you quickly realize that they're after the mid-market, enterprise-lite type of business. They only give lip-service to the true small business. On this site, I'll review and comment on CRM and CRM-like services and products and offer advice on how to choose the right products for your business.

Share your small business CRM story. If your company is less that 25 employees, share your experience with CRM software. Thanks.

Hi,

I have been using ACT for many years, and really like the functionality of it. although some versions seem to run slower than others, including the one I am using now ACT 2007. But it is kinda cool with its features of being able to link it to my phone, PDA and other neat tools that are available in the form of quote generation, link to quickbooks, Activator marketing and automated sales assistance program, along with being able to take my contacts with me on the road and not have to take any paper or little diaries to jot down notes etc. The best part, is that it is only around $300 and you can have it run on up to 10 computors. Each user can have a password, and one machine keeps the data on, even if it is a laptop. So if a salesperson goes out each week and gathers new contacts, he/she can later in the week or any time send a sync email to the main computor, and have their new contacts and notes, schedule etc. sent along with it so that everyone stays on the same page. So I can view what everyones upcoming schedule is on one calendar, see who was contacted, and even review quotes that were sent. It is supposedly the number one small business CRM program out there, and most likely the oldest, so each version they incorporate new features that the user base requests. I have about 17,000 contacts in my database that has grown over the years. Another cool feature is with a cardscan reader. Instead of keying in contacts info, you can use a cardscan for all your business cards that you get each week or at a trade show, and link that into ACT. The cool part, is that you can upload this to the internet (their site), and be able to access your contacts anywhere when you don't have your laptop but access to the internet. It also will send out if you choose, an email to those contacts with email addresses 3-4 times a year to make sure they are still up to date, incase thy make a change to their position or phone number. Although, if they change jobs or companies and they loose that email address, then you are out of luck. But in all, I would highly recommend taking a closer look at this program. It was owned by symantec (who owned Norton utilities at one time) and now by a company called SAGE, who makes also some higher priced and a little more larger corporate type CRM solutions. So your data is able to be scaled upwards should you grow. But believe me, many small, medium and some large corps don't have what ACT delivers right out of the box, without extensive learning and training. There is a huge following of the product (that is why SAGE bought it), that you can tap into and get lots of great programs to work with it. One such program is mappoint, which allows you to put an electronic push pin, color coded into a map to indicate where your contacts are. Then do some demographics on their areas and study certain patterns etc. I currentlt use ACT 2007, Act for palm 2.0, Map point, Activator, Cardscan, Quotewerks, Quickbooks and have dabbled with a project tool (name fails me now, but similar and easier than MS Project, but very powerful) Aw I remembered, Project Kickstart. It was also cool. In that you can assign tasks to be completed by persons for a project, and have it email them the requests for the info or update their schedules so that Ghant charts become less static and more helpful in getting their part of the project done. Again for a small company of less than 25, I wouldn't look elsewhere, unless you are looking for a complete job package that incorporates specific related tasks. But if you look into the ACt addon programs, you might find all that you are looking for. It is very powerful and friendly at the same time. Cheers!

We use MyriadSuite to manage the help desk in our department. We also fill out our timesheets in that app. I know the sales department are using it for CRM and they have all good comments about it. Their main advantage is the price and the user interface is quite original and user-friendly.

    What is CRM?

Most true small business owners probably aren't familiar with the term CRM. CRM stands for Customer Relationship Management. According to Wikipedia, CRM is a "broadly used term" and I'd have to agree. Basically, traditional CRM products are designed to manage all of the contacts (through marketing, sales, fulfillment, etc) that a prospect/client might have with a business.

Many software providers have begun to label their products as CRM even thought they're not CRM. They're either trying to capitalize on the current CRM momentum or a category doesn't exist for their type of software, so they don't know how else to label it.

It is important to distinguish between "active" and "passive" CRM solutions. Traditional CRM (passiv) products passively track and store data on prospects and customers. This information is valuable for those who need to retroactively go back and analyze the success of a campaign, fulfillment program, or other activity. Active CRM programs actually reach out and contact prospects/customers in a proactive way. This is becoming future of CRM software solutions as businesses realize that software can now carry out their "follow up" dreams.
